C. Crane is looking for a Full-time Bookkeeping & Purchasing Administrative Assistant that will assist our CFO with keeping accurate financials and ensure timely procurement of products. We are looking for someone who is organized, meticulous, gets excited about data entry and is all about the details. The ideal candidate is efficient but understands that accuracy is more important than speed. We are looking for someone who has some bookkeeping or purchasing experience, however, if you aren’t fully proficient in all the areas listed below, C. Crane is willing to train the right candidate who has the energy, organization, resourcefulness, and a get-it-done attitude. We have excellent starting documentation.
If you are shy or quiet, that’s totally fine with us. We’re not looking for the life of the party. We need a focused individual who gets stuff done.
At C. Crane, we design and manufacture long range radios, WiFi Antenna systems and are delving into a new vertical that we are very excited about! We craft our products with excellence to bring our customers’ joy. We pride ourselves in the service that we offer to our customers. We are a unique and niche company located in Fortuna, CA selling our products through an annual catalog, ecommerce store and many marketplaces not only in the U.S. but worldwide.
Purpose:
In this position, you will serve the CFO primarily with bookkeeping and purchasing administrative tasks. The key focus of this position is to accurately record daily financial transactions, ensure timely bill payments, prepare monthly and quarterly financial reports, manage the purchasing process (from order creation to delivery tracking), and support the CFO in acquiring necessary goods and services.
With every job, there’s some good news and some bad news…
Let’s get the bad news out of the way first:
- There are a few days at the end of the month and the beginning of the month where you will be expected to prioritize your work and may have to work weekends or on a holiday to perform duties. Hours will fluctuate depending on the projects we have on our plates. Please note, November, December and January are busy months in accounting at C. Crane, so we don’t normally allow vacation during these months.
- Because we are a small company, sometimes we get to wear many hats such as helping showroom customers and other projects unique to the company. If you’re looking for job that is tightly departmentalized or less cross-team collaborative, then this may not be a good fit.
- You’ll need to check your ‘inboxes’ in the various platforms that we use every business day. Because of the nature of the work throughout the month, it is important that you see what tasks are being assigned to you and when they are due so you can plan accordingly. Jobs need to be done in a timely manner, so you are expected to keep tasks moving along throughout the week.
- This job requires focus so your work environment will need to be distraction-free.

Let’s discuss the job requirements:
- You must be able to analyze reports, financial statements, and understand where the data comes from within a system. Most of your time will be spent entering numbers in software systems & excel files, running reports out of our accounting, order entry and inventory systems. You will be using this knowledge to ensure that the company financials and product forecasts are as accurate as possible. You can look over an Income Statement, Profit & Loss and Balance Sheet report and identify inaccuracies. You also either know how to fix them or how to efficiently research how to fix them.
- You must be comfortable with Excel, Software & Computer Use. You understand the ins and outs of software and how to build excel files. You understand how each software and feature affects the financial statements. Everything we do exists on the computer and internet. It is critical that you can navigate a digital environment effectively and efficiently (which means learning new software when needed). You like to be on a computer a lot.
- You are great at time management and getting tasks done by the deadline. You are also excellent at raising your hand for help if a deadline is pressing.
- You are able to communicate effectively with team members and vendors, and willing and able to call about discrepancies and information needed to complete the tasks.
- Accuracy Is Important To You - The ideal candidate has the systems in place to double-check their own work.
- Super organized with your work. You make worksheets when solving problems and you save documents in a digital and physical folder system. You need to be able to prioritize and identify the most important tasks to work on. You must be organized in such a way that any information the CFO needs at the moment’s notice is at your fingertips. Urgent matters that need immediate attention will be inevitable, you must be flexible to handle these.
- You love making systems. You understand that systems make everyone’s lives easier (including future you). You like spending a little more time upfront to create an internal system, documentation or resource that will allow the company to grow and scale effectively.
Some specific things you’ll get to do:
- Accounts Payable: responsible for timely processing company bills, vendor invoices, and electronic payments to vendors according to established terms.
- Receive, review and match invoices against purchase orders to verify accuracy of details like pricing, quantities and billing information.
- Respond to vendor inquiries regarding invoice status, payment dates and account balances.
- Enter daily deposits in accounting software.
- Create bank wire transfer requests for product payments.
- Assist with tax payments and filing of 1099s.
- Create Daily Cash Account listing which entails monitoring and providing management a daily summary of all bank accounts and inventory values.
- Post financial transactions, receive and record cash and checks.
- Reconcile bank and credit card statements.
- Prepare monthly, quarterly, and yearly financial folders for management and accountant to review.
- Assist in running product reports for product life cycles, product returns and product defect rates and reasons.
- Track product shipments.
- Maintain product forecast worksheets.
- Order office and cleaning supplies.
- Maintain purchase order status worksheet(s) for overseas manufacturers.
What we don’t expect is for you to know how to do all the above, for you to qualify for this job. We don’t really care if you know how to use Clickup, Brightpearl or Loom yet (although that’s a plus), we can teach you that and other things. Again, we expect a passion for service and teamwork.
Compensation & Benefits:
- This is a full-time position, Monday through Friday from 8:10am – 5:10pm.
- Pay Scale is $18 per hour - $21 per hour. Starting pay is normally started at the beginning of the pay scale but is commensurate with experience.
- After completion of the waiting period, benefits for full-time employees include paid vacation and holidays. Medical insurance and elective supplementary insurances are available along with participation in C. Crane’s SIMPLE IRA plan.
