C. Crane is looking for a Full-time Executive Assistant to be a supportive force who empowers our Executive Team. We are looking for someone who is a problem solver with exceptional communication skills and meticulous attention to details. The ideal candidate is not afraid to “stretch” outside of their comfort zone and learn new things, especially technology. Experience working in an office environment, performing administrative duties, and providing support to managers is a must. We have excellent starting documentation and training, however we expect candidates for this position to come in with some experience.

We’re not looking for someone who just wants to get their foot in the door. We need someone who desires to be a career Executive Assistant.

At C. Crane, we design and manufacture long range radios, WiFi Antenna systems and are delving into a new vertical that we are very excited about! We craft our products with excellence to bring our customers’ joy. We pride ourselves in the service that we offer to our customers. We are a unique and niche company located in Fortuna, CA selling our products through an annual catalog, ecommerce store and many marketplaces not only in the U.S. but worldwide.

Purpose:

In this position, you will serve the CEO primarily, but also work with the COO & CFO by directly assisting and carrying out administrative work in daily jobs, tasks and special projects to enable the executive team advance company initiatives and goals.

With every job, there’s some good news and some bad news…

Let’s get the bad news out of the way first:

  • C. Crane is a retail business, so our busiest time of the year is October, November, December and January; because of this, you may have to work during a holiday, and we don’t normally allow vacation during these months. Working directly for the CEO may require you to work weekends, evenings and travel for business trips which can include international travel.
  • We are a small company and wear many hats. You will be asked to work with multiple team members with different personality types to complete tasks and projects. If you’re looking for a job that is tightly departmentalized or less cross-team collaborative, then this may not be a good fit.
  • You’ll be taking on multiple roles and tasks from marketing to finance so there’s a lot of left-brain right-brain tug-a-wars going on daily.
  • Your job is to stay one step ahead of the CEO. You don’t have to be a mind reader however you need to be intuitive and know how to anticipate the CEO’s needs. Asking good questions is important. If you are looking to be told what to do all the time, then this will not be a good fit.

  • This role is perfect for someone that can take something and run with it. It’s a great opportunity for an individual who loves staying busy, getting the job done, and wearing lots of different hats throughout the day in a small, close-knit team.

Let’s discuss the job requirements:

  • You must be comfortable with different technology programs, Microsoft applications such as Word & Excel, Software & Computer Use. We use multiple platforms for ecommerce, project management, office software, etc. You will be immersed in technology daily that is always changing. Having the ability to switch to an alternative at any moment is required. It is critical that you can navigate a digital environment effectively and efficiently (which means learning new software when needed).
  • Ability to anticipate problems and know how to solve them. You will need to think outside the box and use every tool at your disposal to solve problems and know how to get around obstacles and love the challenge of it. You must be passionate about learning. You’re a self-starter. You need to be creative, logical, and analytical. Ability to think under pressure and think independently. While you don’t need much supervision, you’re good at asking for direction and clarification.
  • Super Organized. You will be in charge of two busy workloads, your own and the CEO’s. You need to be able to prioritize and identify the most important tasks to work on. You must be organized in such a way that any information the CEO needs at moment’s notice is at your fingertips. Urgent matters that need immediate attention will be inevitable, you must be flexible to handle these. Once the fires have been put out, you should be able to return to your schedule with ease.
  • Be Trustworthy & Maintain High Levels of Confidentiality. You will be privy to sensitive and confidential information on a regular basis. You will be exposed to financial information, legal and employee information. You need to be trusted to maintain privacy of this information.
  • Excellent Communicator. You will be a spokesperson for the CEO and must possess emotional intelligence when speaking with team members, VIP reviewers and overseas vendors. A strong ability to read people and change your communication style to adapt to individuals is important. A lot of your time will be spent writing reports, emails, creating agendas and taking notes. You don’t have to be Hemingway, but your writing must be in a professional tone, easy to understand, and grammatically correct.
  • Value Being A Team Player. You will serve as a gatekeeper for the CEO protecting their time but also understand that each team member in the organization feeds into the success of the CEO. Team members will turn to you to schedule meetings with the CEO, look for guidance and advice on the CEO’s needs.
  • You love to document and have systems. You understand that documentation makes everyone’s lives easier (including future you). You like spending a little more time up front to create documentation that will allow the company to grow and scale effectively.
  • Reliable Transportation and Valid Driver’s License with Clean Driving Record Required. Some of your duties include getting gifts for employee birthdays & anniversaries, going to the store for company parties/potlucks, and going to the bank. Mileage will be reimbursed but you must have your own vehicle to perform these tasks.

Some specific things you’ll get to do:

  • Assist in HR work such as time clock management, insurance renewals, payroll, running attendance reports.
  • Maintenance of legal work including product trademarks, work with COO to review HR policies and manage renewal of corporate documents.
  • VIP list maintenance. Includes working on marketing promos, researching and reaching out to potential product reviewers and following up.
  • Coordinate meeting schedules for the CEO, take meeting notes and transcribe them into task management platforms.
  • Serve as the backup for the Bookkeeper.
  • Serve as the backup for the Purchasing Administrative Assistant.
  • Help organize the CEO’s desk and calendar.
  • Make and review all travel arrangements for the CEO by developing itineraries and agendas; booking transportation; arranging lodging and meeting accommodations.

What we don’t expect is for you to know how to do all the above, for you to qualify for this job. We don’t really care if you know how to use Clickup, Brightpearl or Loom yet (although that’s a plus), we can teach you that and other things. Again, we expect a passion for service and teamwork.

Compensation & Benefits:

  • This is a full-time position, Monday through Friday from 8:10am – 5:10pm.
  • Pay Scale is $21 per hour - $32 per hour. Starting hourly pay will be based on experience.
  • After completion of the waiting period, benefits for full-time employees include paid vacation and holidays. medical insurance and elective supplementary insurances are available along with participation in C. Crane’s SIMPLE IRA plan.
